Most information can be found here. However there are a few key things to note. As CO/XO you will also have access to the records for all your members. You also have a few extra features as detailed below.
Editing Basic Information
At the bottom of the general information area is an edit button. This will allow you to edit the following parts of your general information:
- Rank
- First Name
- Last Name
- Birthdate
As a CO/XO you are allowed to internally promote any of your crew members up to one rank below yours or up to Captain, whichever is lower. The system will automatically limit your rank choices accordingly. The other items were included to allow for changes due to legal reasons and errors in data entry. Do NOT enter a persona name. You must use actual names. A feature will be added later for you to input persona data for use on the MFIWiki and other place.
Ribbons Earned Section
The Ribbons Earned section will (when created) maintain an updated visual record of all the ribbons a member has earned. They will show as they should appear on the uniform. When the section is up and running there will be a button here that will allow you to add Chapter Level Awards directly to both the record and the Hall of Honor. Please check out the Ribbons Construction section to learn how to make your own ribbons, or order them through the Quartermaster.
Contact Information Section
The following types of contact information can be entered and stored in the MFI DB System:
- Postal Address
- Phone Number
- Main E-mail Address
- Alternate Email Addresses
- Personal Website URL
- AIM ID
- MSN ID
- ICQ ID
- YIM ID
Others may be added at a later date. Please only keep one (1) Main E-mail Address on file at any given time. This is to be the one address you want anyone in MFI to contact you by. It will also be used by other automated system to send messages and notices to you, such as your reset password. While all the same points of contact an individual member can use are available for a chapter, some items such as IM ID's are really not appropriate. Also don't bother to enter in any contact points that are the same as the CO and XO.
You will also be able to change the status of each of your points of contact listed in this section. The following people will be able to see all and edit your contact data:
- Yourself(as CO or XO)
- CC Members and Membership Dept Head
None else will. Setting a Contact Point to be visble will allow it to be used in future applications.

This is a direct link to the features detailed here.
View Chapter Service Record
While similar to the Member Service record there are some key differences. Here is the layout of the Chapter record:

Logo and Basic Information
Like the member photo there is a default logo. You can upload a specific chapter logo by labeling it with your chapter number (Ex: MFI-RC-100123). It is very important that you upload a .jpg file otherwise the logo will not show.
The following Basic information is listed on the chapter record:
- Chapter number
- Chapter name
- Commanding Officer's rank and name
- First Officer's rank and name
- Date record was last updated
- Zone
- Area
Even a chapter assigned to Zone VR will usually have an area assigned to it, most likely the home area of the CO.
Crew Roster
This section list all members of the crew. From here you can select any of your chapter's member's Service Record to view and edit. There are two buttons at the bottom of the section. The first, "Edit/Add Mem" allows you to add a current MFI member to your crew, or remove a member from your crew. The "Add New Mem" button allow you to add a new member to MFI who will automatically be assigned to your crew. It'll be your responsibility to verify that the person is who they really say they are. For the most part this is not an issue. For Zone VR chapter this is especially important as MFI has had problems with hackers and other people who would mess up our systems.
Service Record Entries
As CO/XO you are allowed to make Service Record entries for events that occur in your chapter. Staff changes (other than CO/XO), special events, etc. Only enter those events that affect the ship as a whole as opposed to a single member (such as awards or promotions).
Edit Chapter's Contact Information
This section works just like the member's version.
Logout of DB maintenance system
It logs you out of the system. Once logged out you will have the choice to either sign back into the DB system or to go to the MFIWiki.
